Welcome to Memoza. Your privacy is important to us. This Privacy Policy explains what information Memoza collects, how that information is used, how it is shared within the application, and the choices you have regarding your data.

1. Information We Collect

When you create and use a Memoza account, we may collect and store information necessary to provide the service, including:

  • Your email address
  • Your display name
  • Your profile information
  • Authentication and account information

When you use Memoza, we may also store information that you voluntarily create, upload, or provide, including:

  • Reports you create
  • Report titles, descriptions, categories, and statuses
  • Report locations
  • Photos and other media you upload
  • Voice recordings associated with reports
  • PDF documents and other attachments
  • Work Orders you create
  • Work Order titles, descriptions, priorities, statuses, due dates, and assignments
  • Work zones and map-related information
  • Groups you create or join
  • Group invitations and membership information
  • Assignment information
  • Notifications generated by activity in Memoza
  • Other information you voluntarily provide through the application

2. Location Information

Memoza may use your device's location when you grant the application permission to access location services.

Location information may be used to:

  • Place reports and work-related information on the map
  • Associate reports with the location where work is being performed
  • Support map-based reporting and field workflows
  • Provide location-related features within the application

Memoza does not access device location when the required permission has not been granted.

3. Reports and Work Orders

Memoza is a field reporting and work management application. Information created within the application may therefore be shared with other users when the relevant report, group, or Work Order is shared with them.

Reports may contain information such as descriptions, photos, locations, voice recordings, documents, categories, statuses, assignments, and group information.

Work Orders may contain information such as titles, descriptions, priorities, statuses, due dates, assignees, locations, and links to related reports or documents.

Access to shared information is controlled by the application's authorization and access rules. Users may only access information that they are permitted to view through Memoza.

4. Photos, Voice Recordings, and Documents

Memoza allows users to attach information to reports and work workflows, including photos, voice recordings, and PDF documents.

Uploaded documents may include floor plans, technical documents, or other files relevant to field work.

These files are stored as part of the Memoza service and may be accessible to users who have permission to view the related report or work item.

Users are responsible for ensuring that information they upload to Memoza is appropriate for their intended use and that they have the necessary rights to upload and share that information.

5. Groups, Invitations, and Sharing

Memoza allows users to create and participate in groups.

To provide these features, Memoza may store:

  • Group membership information
  • Group roles and permissions
  • Group invitations
  • Information about reports and work items shared with a group

When you accept an invitation or join a group, information shared with that group may become available to other authorized members of the group according to their permissions.

6. Notifications

Memoza provides in-app notifications to keep users informed about relevant activity.

Notifications may be generated when, for example:

  • You are assigned a report
  • You are assigned a Work Order
  • A Work Order is reassigned to you
  • A report or Work Order changes status
  • A Work Order is completed
  • You receive a group invitation

Notification records may contain information about the related report, Work Order, group, or other activity necessary to display the notification to you.

7. How We Use Your Information

We use the information we collect to:

  • Provide and operate Memoza
  • Create and manage user accounts
  • Authenticate users
  • Store and synchronize reports and work information
  • Support map-based field reporting
  • Manage Work Orders and assignments
  • Manage groups and invitations
  • Provide notifications
  • Store and deliver uploaded photos, recordings, and documents
  • Enforce access permissions
  • Provide customer support
  • Maintain, secure, and improve the application

8. Data Storage and Security

Memoza uses trusted cloud infrastructure to store account information, application data, and uploaded content.

We use reasonable technical and organizational measures designed to protect information from unauthorized access, alteration, disclosure, or destruction.

Access to application data is also controlled through authentication and authorization mechanisms. Certain content, including uploaded documents, may be stored privately and made available only to authorized users.

9. Third-Party Services

Memoza relies on trusted third-party services to provide parts of its infrastructure and functionality.

These services may include:

  • Supabase for authentication, database, and cloud storage
  • Mapbox for mapping and map-related functionality

Information may be processed by these providers as necessary to provide the functionality of Memoza. Their processing of information may also be subject to their own privacy policies and terms.

10. Data Sharing

Memoza does not make your reports, Work Orders, documents, or other user-generated content publicly available by default.

Information may be made available to other Memoza users when you intentionally share information through groups, assignments, or other collaboration features.

We may also disclose information when reasonably necessary to:

  • Provide and maintain Memoza
  • Protect the security and integrity of the service
  • Comply with applicable legal obligations
  • Respond to valid legal requests
  • Protect the rights, safety, and property of Memoza and its users

11. Account Deletion

You may request deletion of your Memoza account from:

Profile → Account → Account Control → Delete Account

Account deletion is intended to remove your account and associated personal information from Memoza in accordance with the application's deletion process.

Some information may be retained where necessary to comply with legal obligations, resolve disputes, prevent abuse, maintain security, or otherwise fulfill legitimate operational requirements.

12. Password Recovery

If you forget your password, you may request a password reset email through the Memoza login screen.

Password reset functionality is provided through the authentication infrastructure used by Memoza.

13. Children's Privacy

Memoza is not intended for children under 13 years of age.

We do not knowingly collect personal information from children under 13 through the service. If you believe that a child has provided personal information to Memoza, please contact us so that we can review the situation.

14. Your Choices and Rights

Depending on applicable law, you may have rights regarding your personal information, including rights to:

  • Access information associated with your account
  • Request correction of inaccurate information
  • Request deletion of your account and personal information
  • Ask questions about how your information is processed

You can also control certain information directly through Memoza, including your account and the content you create within the application.

15. Changes to This Policy

We may update this Privacy Policy from time to time as Memoza develops or as legal or operational requirements change.

When significant changes are made, the updated version will be made available within the application.

The "Last updated" date at the beginning of this policy indicates when the current version was last updated.
